Privacy Policy

1. Introduction

This Privacy Policy explains how PWIL(“we”, “us”, “our”) collects, uses, stores, and protects information when you use the OneViewsupply tracking & verification platform — the OneView web console and the PWIL OneViewmobile application (together, the “Platform”).

OneView is a business platform. Accounts are created by PWIL for its employees and for authorised personnel of its suppliers; there is no public self-registration. By using the Platform you agree to the practices described in this policy.

2. Information we collect

Account information. Your name, mobile phone number, assigned role, and the supplier organisation or PWIL plant you are associated with. This information is provided to us by your employer or by PWIL when your account is provisioned.

Authentication data. One-time passcodes (OTP) sent to your registered phone number by SMS, and session records (sign-in time, session identifiers, and the device used) needed to keep your account secure.

Operational records. Data you enter or handle while using the Platform: invoices, dispatch details, vehicle and consignment information, checkpoint decisions, escalations, GST report data, and related business documents.

Photos, videos, and audio. With your permission, the mobile app uses the device camera (and microphone, for video) to capture invoice documents, vehicle photos, and verification evidence at supply checkpoints. Media is captured only when you actively use a capture feature.

Location data.With your permission, the mobile app records the device location at the moment verification evidence is captured (a “geostamp”), so that checkpoint records can be tied to the place they were made. We do not track your location in the background.

Technical and audit data. IP addresses, timestamps, device and app version information, and audit trails of actions taken on records (who created or updated what, and when). These are required for security and for the integrity of the verification pipeline.

3. How we use information

  • To authenticate you and keep your account and sessions secure.
  • To operate the supply tracking and verification workflow — dispatch, security check-in, weigh bridge, and exit stages — including the evidence attached at each stage.
  • To generate business and compliance reports (for example, GST reports).
  • To send you service notifications relevant to your role, such as pending verifications and escalations.
  • To maintain audit trails, prevent fraud and misuse, and comply with legal obligations.

We do not sell personal data, and we do not use Platform data for advertising.

4. Sharing of information

We share information only in the following circumstances:

  • Within the workflow. Operational records are visible to other authorised users involved in the same workflow (for example, PWIL plant staff can see the invoices and evidence submitted by a supplier), governed by role-based access control.
  • Service providers. We use infrastructure providers to run the Platform — cloud hosting and file storage (AWS) and SMS delivery for OTPs. They process data only on our behalf and under our instructions.
  • Legal requirements. We may disclose information where required by law, regulation, or a valid request from a public authority.

5. Data security

Data is encrypted in transit (HTTPS/TLS). Access to data is restricted through role-based permissions, authenticated sessions, and audit logging. Uploaded media is stored in access-controlled cloud storage and served only to authorised users.

6. Data retention

We keep personal data for as long as your account is active and as needed to operate the Platform. Business records (such as invoices, verification evidence, and GST data) are retained for the periods required by applicable Indian tax, accounting, and corporate law, even after an account is closed.

7. Your rights and choices

  • You can review the profile information held about you in the app and ask us (or your organisation's administrator) to correct it.
  • You can request deletion of your account and personal data — see Delete Account for how this works and what is retained.
  • You can decline the camera, microphone, or location permissions in your device settings; the related capture features will be unavailable, but the rest of the app will continue to work.

If you are in India, you may have rights under the Digital Personal Data Protection Act, 2023, including the rights to access, correct, and erase your personal data. To exercise any right, contact us at support@pwil.co.in.

8. Children

The Platform is intended for use by working professionals and is not directed at children under 18. We do not knowingly collect data from children.

9. Changes to this policy

We may update this policy from time to time. The effective date above reflects the latest revision; material changes will be communicated through the Platform.
